If you’re scheduling HVAC service, considering a new system, or trying to understand what happens before or after an installation, you probably have questions. Below are answers to some of the questions we hear most often from homeowners throughout the Triangle.

Scheduling an HVAC Appointment

What areas does Klimatology HVAC service?

Klimatology HVAC serves homeowners throughout much of the Triangle, including Raleigh, Durham, Cary, Apex, Morrisville, Chapel Hill, Carrboro and Wake Forest.

If you are outside these areas, contact our office to find out whether your property falls within our current service area.

Do you offer same-day HVAC service?

We often have same-day appointments available, but availability depends on our existing schedule and technician workload.

We never recommend waiting to call simply because you think our schedule may be full. Contact our office and we will let you know the earliest appointment available.

Do you offer evening, Saturday or holiday appointments?

Yes. We offer some evening and Saturday appointments based on technician availability.

Our diagnostic fee for evening and Saturday appointments is $150.

Limited holiday service may also be available with a $250 diagnostic fee.

Do you offer 24/7 emergency HVAC service?

No. Klimatology HVAC does not offer 24/7 service, and we are closed on Sundays.

We do offer some evening, Saturday and holiday appointments, but we do not routinely dispatch technicians in the middle of the night.

There is also a practical reason for this. A technician may be able to diagnose a failed HVAC system after hours, but if the repair requires a part that is not already stocked on the service truck, HVAC supply houses will be closed. That can leave the homeowner paying a much higher after-hours service fee while still having to wait until the next business day for the repair.

Some repairs can be completed immediately if the technician already has the necessary component on the truck, such as a common capacitor. For many equipment failures, however, waiting until suppliers are open allows us to diagnose and repair the problem much more efficiently.

Do I need to be home during my HVAC appointment?

Yes. Someone 18 years of age or older must be present during the service appointment.

What happens if I need to cancel or reschedule my appointment?

We appreciate at least 24 hours’ notice whenever possible if you need to cancel or reschedule.

We understand that unexpected situations happen, and we generally do not charge a cancellation fee for an occasional last-minute change.

However, repeated last-minute cancellations, or cancellations after a technician has already been dispatched to or arrived at the property, may result in a trip or cancellation fee.

Diagnostic Fees, Free Estimates & Repair Appointments

How much is the HVAC diagnostic fee?

Our standard diagnostic fee is $85.

The diagnostic fee covers the technician traveling to your home and professionally troubleshooting your HVAC system to determine what is causing the problem.

Is my $85 diagnostic fee applied toward my HVAC repair?

No. The diagnostic fee covers the technician’s travel and the professional troubleshooting required to identify the problem. It is separate from the cost of the repair.

However, if you ultimately decide to move forward with a full HVAC system replacement through Klimatology HVAC, the diagnostic fee will be credited toward the replacement.

What should I expect during an HVAC diagnostic appointment?

During a diagnostic appointment, your technician will evaluate and troubleshoot the system to determine what is causing the problem.

Once the issue has been identified, the technician will explain the findings and provide repair options and pricing. We will not proceed with repairs that require additional authorization without discussing them with you first.

Can you give me an HVAC repair estimate over the phone?

No.

There are too many variables involved in HVAC repair for us to responsibly quote a repair without inspecting the equipment.

This is also true if another contractor, a homeowner or someone else has already diagnosed the system. Before Klimatology HVAC provides a repair quote or performs the work, one of our technicians must independently confirm the diagnosis.

This helps ensure that we are repairing the actual cause of the problem.

Do I have to pay a diagnostic fee if I only want a quote for a new HVAC system?

No. Replacement estimates are free.

There is an important distinction between a free replacement estimate and an HVAC diagnostic appointment.

During a replacement estimate, the technician is evaluating your home and existing HVAC setup so we can provide options for replacing the system. This may include taking measurements, reviewing equipment, looking at the installation area and asking questions about your home and comfort needs.

A free replacement estimate is not a troubleshooting appointment. The technician will not open up the existing equipment or diagnose why it is malfunctioning as part of a free estimate.

If you need us to determine what is wrong with your current system, that is a diagnostic service and the applicable diagnostic fee will apply.

Can I schedule an appointment to discuss both repair and replacement?

Absolutely.

If you aren’t sure whether repairing or replacing your HVAC system makes more sense, let us know. The technician can diagnose the system and discuss the available options with you.

If you decide to move forward with a full system replacement through Klimatology HVAC, the diagnostic fee will be credited toward the replacement.

How do I know whether I should repair or replace my HVAC system?

There isn’t one rule that applies to every system.

Some of the factors we consider include:

  • The age and overall condition of the equipment
  • The cost of the proposed repair
  • The frequency of previous repairs
  • The type and availability of refrigerant and replacement parts
  • The efficiency of the existing system
  • Whether other major components are showing signs of wear
  • How long you expect to remain in the home

Our technicians can explain both repair and replacement options when appropriate so you can make the decision that makes the most sense for your home and budget.

HVAC Services & Equipment

What HVAC brands does Klimatology install?

We primarily install Trane, Goodman, Ruud and Bosch equipment.

The best equipment for a particular home depends on several factors, including the home’s existing system, efficiency goals, budget and installation requirements.

Do you repair all HVAC brands?

Yes. Our technicians service and repair HVAC equipment from all major brands, regardless of whether Klimatology originally installed the system.

Do you install heat pumps?

Yes. We install and replace heat pump systems as well as other residential heating and cooling configurations.

Do you install ductless mini-splits?

Yes. Klimatology HVAC installs and services ductless mini-split systems.

Mini-splits can be a good solution for additions, bonus rooms, garages, older homes without existing ductwork or areas of a home that need independent temperature control.

Do you repair or replace ductwork?

Yes. We can repair, replace, modify and install residential ductwork.

We also provide duct cleaning services.

Do you install water heaters?

No. Klimatology HVAC does not currently install or service water heaters.

Can you help me determine what size HVAC system I need?

Yes.

HVAC equipment should be sized based on the heating and cooling requirements of the home rather than simply assuming that a larger system will perform better.

An oversized system can create its own comfort and humidity problems, while an undersized system may struggle to maintain the desired temperature.

Does Klimatology perform Manual J load calculations?

Yes. We can perform a Manual J load calculation and provide the results to the homeowner.

A Manual J calculation evaluates factors that affect a home’s heating and cooling requirements and can be used to help determine appropriate system sizing.

Payment & Financing

What payment methods do you accept?

We accept credit cards, cash and checks.

When is payment due?

For standard service and repair appointments, payment is due at the time of service.

For HVAC replacements and installations, payment is due when the contracted installation work is complete and the system is operational, unless different payment terms have been agreed to in advance.

Does Klimatology HVAC offer financing?

Yes. We currently offer financing through Wisetack.

Financing options are subject to approval and may vary depending on the project. If financing is something you are interested in, please let your technician know so they can discuss the available options with you.

Can Klimatology HVAC work with my home warranty company?

No. Klimatology HVAC does not currently work directly with home warranty companies.

Home warranty companies often have their own contractor networks, authorization requirements and payment procedures. We have also experienced situations where invoices submitted through these programs were not paid as expected.

If you have a home warranty, we recommend contacting your warranty provider directly to determine which contractors and services are covered under your plan.

Repair, Installation & Maintenance Warranties

Do you offer warranties on HVAC repairs?

Yes.

Klimatology HVAC provides a one-year labor warranty on qualifying repairs.

Replacement parts may also include a manufacturer warranty of up to three years, depending on the specific part and manufacturer.

Your technician can explain the applicable warranty coverage for your repair.

What warranty comes with a new HVAC system?

Most of the systems we install are eligible for a 10-year manufacturer’s parts warranty when properly registered.

Klimatology HVAC also provides a one-year labor warranty with our installations.

Customers who would like additional labor protection can purchase extended five-year or ten-year labor warranty coverage.

Warranty terms can vary depending on the equipment selected, so your proposal will identify the coverage associated with your particular system.

Do I need to register my new HVAC equipment with the manufacturer?

Manufacturer registration is important because it can affect the warranty coverage available on your equipment.

When Klimatology HVAC installs your system, we handle the equipment registration for you.

Does Klimatology HVAC offer a preventative maintenance plan?

Yes.

Our Priority Service Maintenance Program includes twice-yearly maintenance visits, typically in the spring and fall, along with additional program benefits.

Members also receive a 15% discount on qualifying repairs while enrolled in the plan.

Regular maintenance can help identify developing issues and keep your system operating properly, but no maintenance program can guarantee that an HVAC system will never experience a breakdown.

Does having a maintenance plan mean future repairs or labor are covered?

No.

The maintenance plan is not a repair warranty and does not mean future parts or labor are automatically covered.

Maintenance plan members receive a 15% discount on qualifying repairs, along with the other benefits included in the program.

New HVAC System Installation

How long does an HVAC system replacement take?

It depends on the installation.

Some straightforward HVAC replacements can be completed in approximately four to five hours. Others require most of the day, and more complex installations may take multiple days.

Before installation, we will evaluate the scope of work and give you a better idea of what to expect for your specific project.

Does my new HVAC system need a permit and inspection?

HVAC replacements and installations that require permits must be permitted and inspected according to the requirements of the local jurisdiction.

Klimatology HVAC pulls the required permit for the HVAC projects we perform when a permit is required.

The inspection is performed by the applicable city, town or county after installation to verify applicable code and safety requirements.

Why does my new HVAC system need to be inspected?

The municipal inspection is part of the permitting process and is intended to verify that the installation complies with applicable building and mechanical code requirements.

The inspector is not evaluating whether you like the system, whether it heats or cools your home to your preference, or whether you chose the right brand. The inspection is primarily about code and safety compliance.

What Do Inspectors Check After an HVAC Replacement in North Carolina?

Who schedules my HVAC inspection?

Klimatology HVAC submits the inspection request on behalf of our customers.

For most municipalities, we will contact you and request the inspection for the date you prefer.

Durham operates differently. Durham has its own scheduling department and will contact homeowners directly regarding scheduling.

Every municipality has its own process. Many inspectors do not provide precise arrival times, and inspection schedules are controlled by the municipality rather than Klimatology HVAC.

Occasionally an inspection may also be rolled over to the following day because of the municipality’s workload. Unfortunately, those scheduling decisions are outside of our control.

Can I wait until my HVAC system passes inspection before paying for the installation?

For residential HVAC replacements, payment is due when the contracted installation work is complete and the system is operational.

The municipal inspection takes place afterward and is not a condition of payment.

Different payment arrangements may occasionally apply to new-construction or general-contractor projects when those terms have been agreed to in advance.

Why does the EnergyGuide sticker on my new HVAC system show a different SEER2 rating than the system I purchased?

This is a common source of confusion.

For split HVAC systems, efficiency is determined by the specific combination of outdoor and indoor equipment. The yellow EnergyGuide label on the outdoor unit may therefore show a different — and sometimes lower — SEER2 rating than the certified efficiency of the complete matched system installed in your home.

Your system’s AHRI certification verifies the efficiency of the specific equipment combination.

We explain this in detail here:

Why the EnergyGuide Sticker on Your HVAC System May Show a Lower SEER2 Rating

If you would like a copy of the AHRI certificate for a system installed by Klimatology HVAC, just ask us.

Do I pay sales tax on a new HVAC system installation in North Carolina?

Qualifying HVAC replacement and new-installation projects can be treated as capital improvements to real property under North Carolina sales and use tax rules rather than as a standard taxable repair transaction.

For qualifying projects, Klimatology HVAC will provide North Carolina Form E-589CI, Affidavit of Capital Improvement, for the appropriate party to sign.

This is different from HVAC repair and maintenance work, which is generally treated differently for North Carolina sales tax purposes.

Rebates & Incentives

Is Klimatology HVAC a Duke Energy Trade Ally?

Yes. Klimatology HVAC is a participating Duke Energy Trade Ally.

Trade Ally ID: 6453627986

Can Klimatology process my Duke Energy rebate?

Yes. When eligible equipment and programs apply, Klimatology HVAC can process qualifying Duke Energy rebates for our customers.

Rebate programs and eligibility requirements can change, so ask us what programs may currently apply to the system you are considering.

Are federal HVAC tax credits still available?

The federal Energy Efficient Home Improvement Credit that previously applied to certain qualifying residential HVAC equipment ended for systems placed in service after December 31, 2025.

Other utility, manufacturer or local incentive programs may still be available, so we recommend asking about current incentives when considering a replacement.
